Information we collect
When you send a reservation request, we collect the details you provide: name, email address, optional telephone number, guest count, requested dates and any message. Our hosting, security and analytics providers may also process technical logs and identifiers such as IP address, browser information, requested URL and time of access.
Why and on what legal basis
We use enquiry details to answer your request, check availability, prepare a quotation and take steps requested by you before a booking contract. We use limited technical logs for our legitimate interest in operating, diagnosing and securing the website. Analytics and advertising cookies (see below) run only after you accept them. We do not use enquiry details for unrelated marketing without a separate lawful basis.
Retention
Unconfirmed reservation enquiries are normally retained for up to 24 months so we can manage follow-up and prevent duplicate requests. If a booking is made, relevant records may be kept longer where necessary to perform the booking, resolve claims or meet tax and legal obligations. Security logs are retained according to the hosting provider's operational schedule.
Cookies and analytics
We ask before anything non-essential runs. Until you accept the cookie banner, no analytics or advertising cookie is set and no tracking script loads. If you accept:
- Google Analytics (GA4) — helps us understand which pages are useful and how visitors reach the site. Data is processed by Google under its own terms.
- Meta Pixel — where enabled, measures the effectiveness of our Facebook/Instagram content and ads. Data is processed by Meta under its own terms.

Recipients and international services
Access is limited to the Villa Orian team and service providers needed to host the site, deliver email and support reservations. We may disclose information where required by law or to professional advisers. Cloudflare, our hosting and email providers, Google, Meta and WhatsApp/Meta may process technical or contact information under their own terms; some processing may occur outside the European Economic Area using the provider's applicable transfer safeguards. WhatsApp receives information only if you choose to contact us through WhatsApp.
Your rights
Subject to the GDPR, you may request access, correction, deletion, restriction, portability or object to processing. You may also withdraw cookie consent at any time. Contact info@villaorian.com. We may need to verify your identity and normally respond within one month. You may lodge a complaint with the Hellenic Data Protection Authority or your local supervisory authority.
Automated decisions and changes
We do not make decisions with legal or similarly significant effects solely by automated means. We may update this notice when the website or our processing changes; the date above identifies the current version.
